Add New Contract

Role Required: SDAdmin, Users with Add permissions

Go to Contracts tab and click New Contract. Alternatively, you can create a contract by using Quick Actions on the application header.

Select the template for creating the contract and fill out the displayed fields using the following pointers:

Fields
Description
Name *
Provide a unique name to your contract.
Contract Owner
Select a technician as the contract owner. The contract owner must belong to the site where the contract is created and can access the contract regardless of site restrictions.
Contract Vendor
Choose the vendor who provided the contract. Click to add a new vendor.
Contract Type
Choose your contract type (lease/maintenance/support/warranty).
Contract Term
Choose a validity term for the contract.
  1. Definite - Set a definite validity term.
  2. Indefinite - Set a validity term without an end date. Expiry Notification, Create Request before Expiry, Auto-renewal fields will not be shown for indefinite contracts.
Active Period
Select the period for which the contract applies.
Parent Contract
If your contract has a dependency on another contract, select the parent contract.
Sites
Select the sites for which the contract must be created.
Site-specific contracts limit asset association and technician access based on the sites selected.
Contract Cost
Enter the maintenance cost of the selected assets in terms of dollars.
Currency
Indicates the currency used for the contract. Currency value is auto-populated based on the vendor selected.
Description
Provide a short description of the contract.
Support Details
Enter the details regarding the support that will be provided by the vendor.
Assets
Select the assets covered by the contract.
Software Licenses
Select software covered by the contract.
Attachments
Add attachments, if any.
The total attachment size cannot exceed 50 MB. 
Expiry Notification
Send notifications when a contract nears the expiry date.
  1. Select the users in the application you wish to notify.
  2. You can also specify the email addresses of users to notify.
  3. Specify the number of days before which the selected users must be notified of the contract's expiry. You can specify up to 10 email reminders using the icon.
Create Request Before Expiry
Log a request automatically in your service desk when the contract approaches expiry.
  1. Provide the number of days before the contract expiry when the request must be created.
  2. The subject and the description of the contract expiry notification template will be used in the request.
  3. The contract owner will be added as the requester.
To enable this option, configure a request template under Setup > Customization > Contract Management > Configuration.
Auto-renewal
Renew contracts after the expiry date is reached.
  1. Select users to notify about the renewal.
  2. Choose the renewal period.
The auto-renewal configuration set here will also apply to the renewed contract. 
 
If there are any additional fields configured by your administrator, enter the details accordingly and click Save. You can also save the contract as a draft.
Some fields might be removed/replaced with additional fields, customized to the template. 
You can associate a maximum of 100 assets and software licenses each. To add more, go to the Associations tab in the contract details page.
