Organization Roles

Organization roles are prominent in an organization to approve various requests. In AssetExplorer Cloud, SDAdmins can create and assign roles to users.
You can configure organization roles in requests' Service Level Agreements (SLAs) as well.
 Throughout this help document, the terms Entity and Entity Value will be used. Entity denotes Region/Site/Department/Group/User whereas Entity Value denotes the various regions, sites, departments, groups, or user names.

Configure Organization Roles

  1. Go to Setup > Instance Configurations > Organization Roles.
  2. You can configure roles at different hierarchical levels within your company as displayed in the following screenshot. The application provides default roles, which you can edit.


  1. Click beside a level.
  2. Fill out the details on the displayed page and click Add Role.
 

The role will be listed under the selected level.
You can add a maximum of 50 roles with unique names across the levels.
 

Assign Users to Roles

You can assign organization roles to requesters/technicians. Role allocation to users, however, differs in an organization and other levels. You can associate multiple roles to users in all levels.
 

Organization Level

You can associate only one user to each organization level role.
This means that there can be only one CEO, COO, or General Manager for an organization.

                    
 

Other levels

If there are multiple regions, sites, departments, groups, or users in Region, Site, Department, Group, and User levels, only one user can be assigned to each entity value.



       
 

Associate Roles to Users

  1. Click a role.
  2. View the unassigned regions.


  1. Select a region.
  2. Select the required technician from the drop-down.
  3. Click Associate.


 
Alternatively,
  1. Select a role in a level.
  2. Click Associate User.
  3. Select a technician and a region.
  4. Click Save.
 

Edit/Delete Roles

Click beside a role to edit or delete it. Upon deleting a role, it will be removed from the Approvals page of service request templates.


 

View/Edit/Delete User Role Associations

Click an organization level role; the user associated with it will appear in a card.


In case of other level roles having multiple entity values, technicians will be displayed in separate cards.


Click on the top-right corner of a card to manage the entity, transfer ownership, and disassociate role.
