Notification Rules

Notification Rules allow you to specify conditions when an event must be alerted to users. You can configure and send notifications to users on key events that occur across modules such as Asset, CMDB, Purchase, and Contract. You can also configure notifications for general events.

Role Required: SDAdmin and HelpdeskConfig
Technicians with Full Control permission to a module can also configure notifications for the specific module.

To configure notification rules, go to Setup > Automation > Notification Rules.
 

Configure Notification Language

Before configuring notification rules, the administrator needs to select the default language. The built-in templates are automatically generated based on the selected language. The default template language cannot be modified later.

Modes of Notification

You can send email notifications to users. Administrators can customize the text format and enable email notifications to be sent based on the user's language.
 

Pre-requisites

To enable email notifications, configure incoming and outgoing mail server settings. Navigate to Setup > Mail Settings > Mail Server Settings. Learn more.
 

Enable Notifications

  1. Go to Setup > Automation > Notification Rules.
  2. Go to the required module.
  3. Enable the check box beside the required option.
  4. For certain notifications, you must manually select the users to be notified in the Select Technicians drop-down.
  5. Click Save.


Notifications are not sent to the logged-in technicians, even if they are included in the Select Technicians list.
 

Customize Notification Templates

Customize Text Format

Administrators can configure email notifications to contain text formatting, images, tables, hyperlinks, quotes, or emoticons in Rich Text Format. To avoid formatting and images, switch to Plain Text Mode.


 

Configure Notification Language

Administrators can configure notifications to be sent based on the user's personalized language by enabling Allow template customization in user's language.
 

 
After enabling this option, technicians will be able to configure notification templates in various languages supported by AssetExplorer Cloud.

Customize Notification Message

You can customize the templates for email notifications. A relevant subject/message is built-in for every notification template, in each supported language. You can modify the content as needed.
Hover over a notification rule and click to modify templates. The default template is displayed if the administrator has not allowed customization based on user language. Otherwise, the templates are displayed based on the application's language.
 

 
If you have a multilingual license, you can configure templates in multiple languages. The globe icon beside the template name in the Choose Language drop-down indicates if the template is configured in that language. If a template is not configured in your application language, the icon appears grey. In such cases, you can view the template in your language, but you will receive notifications as set in the default template.
You can edit the default subject/message as required. Type $ to insert variables. You can add elements such as text formatting, images, tables, hyperlinks, quotes, or emoticons in the message if rich text formatting is enabled. After customizing the notification template, click Save.
If the template is created for the user's language, it will be listed under the Configured Templates section in the Choose Language drop-down.
 
 
To remove the configured template, select the template and click Delete template for this language. The template will revert to its original language and will be moved to the Other Languages section.
 
The localized notifications are sent only when the notification templates are configured in the respective languages and the Allow template customization in user's language option is enabled under Notification Rule Settings.
